Board Roles
EXECUTIVE COMMITTEE
President
- Provides leadership and guidance to the Executive Committee and the overall board.
- Proposes and gain approval of strategic initiatives for each season.
- Ensures the Board operates in a positive and productive manner.
- Maintains positive relationship with City Parks & Rec department.
- Assists in areas where there are board director vacancies.
VP of Baseball
- Oversees all aspects of our baseball program to ensure teams are formed and our association abides by regulations of our governing league.
- Ensures all teams are formed, players are evaluated and coaches selected.
- Manages relationship with our governing league.
- Responsible for managing parent complaints and coach, player, parent disciplinary action.
VP of Operations
- Oversees uniforms, equipment, field maintenance, concessions, volunteer
- coordinator, umpires & tournaments.
- Ensures all aspects of our operation work together to create a great atmosphere for our players, families and guests.
- Provides insights to each director and lend a hand when needed.
- Overall guidance, insight and expertise to the Board.
Secretary
- Facilitates board meeting minutes, including scribing and distribution.
- Manages time sensitive communications for board and association, such as meetings and weather-related announcements.
- Ensures all digital properties are secure, consistent, and accurate.
- Develops and implements recruitment strategy to encourage 4 yr olds & up to try baseball.
- Supports Volunteer, Marketing, Registration, and Miracle League directors.
Treasurer
- Provides all aspect of financial management and oversight to EPBA.
- Creates an annual budget that is approved by the Board.
- Prepares monthly financial profit/loss statement and communication with the Board.
- Coordinates with tax accountant to complete all regulatory filings.
- Completes all other financial related issued as requested.
BASEBALL DIVISION
Field Scheduling
- Creates spreadsheets for coaches to use when scheduling home games and practices and upload into Crossbar.
- Monitors any submitted field request additions, changes or cancellations, update Crossbar accordingly and communicate with coaches and team/managers regarding those submissions.
- Updates city field spreadsheets with EPBA usage weekly and communicate any last minute changes with the city.
- Acts as a liaison between EPBA, the city, and softball regarding field usage.
Team Formation & Scheduling
- Team Formation
- Works with VP of Baseball and Travel Coaches to form teams.
- Enters all team and coach info into system.
- Manages Commissioners on the Community side and assist with team formation and friend requests.
- Assists Fall Ball Directors with team formation and entering into system.
- Scheduling
- Works with Travel coaches to book tournaments.
- Handles scheduling with all Travel and Community coaches - manage master spreadsheets and upload into scheduling system.
- Manages changes and additions to games and practices throughout the season.
- Assists with end of the season tournaments for 3rd and 4th/5th grade age levels.
Player Development
- Leads/Coordinates player development initiatives across all age levels, ensuring alignment with EPBA’s philosophy.
- Supports and mentors coaches by providing resources, training plans, and guidance to foster consistent coaching practices and team culture.
- Designs and oversees development programs including winter training, in-season clinics, and off-season opportunities to maximize player growth.
- Evaluates and improves development strategies by gathering feedback, analyzing program impact, and implementing best practices for continuous improvement.
- Ensures grade level development goals are communicated to all coaches
Player Evaluations
- Ensures all of our tryouts are successful. (fall, spring, community)
- Plans all aspects of the tryouts; time, date, evaluators and communication.
- Communicates volunteer needs to volunteer coordinator.
- Onsite during all tryout sessions to ensure smooth operation.
- Analyzes past evaluation results, along with team results throughout the year to improve evaluation scoring and weightings.
- Provides the Team formations director feedback on previous years performance and evaluations to help with Team Formation decisions.
Coach Management
- Oversees Coach Recruitment & Selection: Coordinate the recruitment, vetting, and assignment of coaches for all teams within the league or organization.
- Supports Coach Development: Provide training, resources, and ongoing mentorship to ensure coaches are equipped to lead, teach, and develop players effectively.
- Ensures Compliance & Conduct: Monitor and enforce adherence to league rules, safety protocols, and codes of conduct among coaching staff.
- Facilitates Communication: Serve as the primary liaison between coaches and the board, addressing concerns, sharing updates, and ensuring alignment with league goals.
- Promotes a Positive Culture: Champion a positive, inclusive, and sportsmanlike environment across all teams, supporting conflict resolution and performance improvement when needed.
Fall Ball Director
- Plans and executes the 9U – 18U fall ball program
- Creates teams, arrange fields, recruit coaches, partner with MBL
- Communicates with participant families
- Develops, plans and executes the Jr. Fall Ball program for Kindergarten through 2nd grade
OPERATIONS DIVISION
Fundraising
- Plans and execute opening day events
- Sells scoreboard advertising ‘panels’ and website banners to local companies.
- Tracks terms of agreements, ensure compliance, and coordinate changes as sponsorships change or end
- Sells Tournament sponsorships to local companies.
- Create/sells other fundraising activities/events to support EPBA
Marketing & Outreach
- Develops and implements robust strategy to connect and encourage 4-7 yr olds to participate/try in EP Baseball. More than what we have ‘always done’.
- Communicates and advertise our signup periods.
- Promotes on social media travel, EPHS and Legion successes throughout the year.
- Ensures all digital properties are secure, consistent, and accurate.
- Collaborates with Community, Travel, Fall Ball, Legion and Tournament to understand marketing needs of their programs.
- Maintains partnership with Registration team to support all programs
Tournament Director
- Plans, administers and executes tournaments to make it the best possible experience for players and families.
- Tournament administration in TourneyMachine
- Creates and plans signage
- Creates game schedule and field usage for each division.
- Effectively communicates with participating teams/coaches to ensure a smooth tournament
- Works with Umpires, Field maintenance and Concessions to determine volunteer schedule and needs
- Determines volunteer needs and consistently communicate with the Volunteer coordinator
Uniform Director
- Designs and orders uniforms for travel, community and rookie camp: hats, jerseys and pants.
- Collects player sizes for uniforms through registration and organize data for ordering.
- Orders uniforms, sort them once received, and coordinate pickup for players/coaches.
- Ensures accurate inventory count to maximize the consumption of on-hand inventory and stay within the budgeted amount when ordering uniforms.
Umpires
- Recruits, trains and develops umpires to work games on EP Fields.
- Partners with EP Umpires assignor to ensure games are covered.
- Administration type person to organize registrations, umpire grading, tracking umpire equipment and mentorship program.
Field Maintenance
- Ensures proper equipment is at each field; L-screens, sock nets
- Ensures fields are maintained during tournaments with the help of volunteers.
- Committee should plan a member to be ‘field director’ on site at all times during tournaments.
- Recommends field improvements to the board.
- Partners with the city Park & Rec to ensure fields are ready to play every day.
- Recruits, leads, guides and directs a team of field maintenance employees each summer.
- Assists in need of emergency to prep fields for tournaments and fall ball
- Determines volunteer needs and consistently communicate with Volunteer coordinator
- Maintains association trucks, and small engine field vehicles/mowers.
- Monitors/orders chalk, clay, field conditioner, weed killer, grass seed, etc..
Equipment Director
- Ensures each team bag has equipment needed for the season.
- Assists in packing equipment bags
- Ensures tidy organization of upstairs Miller.
- Takes inventory of equipment to determine future needs/purchases.
Registration Director
- Sets up registrations for all programs - community, travel, fall ball, clinics and camps, and all evaluations.
- Helps families with any registration questions- ie what age to participate in, what programs we offer.
- Make sure players are placed in correct division/ age group.
- Communicates with families when registrations are opening and closing.
Volunteer Coordinator
- Coordinates with EPBA Volunteer Board Members regarding volunteer needs and serve as liaison between EPBA Board and EPBA Travel Families regarding volunteer hours.
- Enters volunteer shifts into Crossbar as directed by EPBA Volunteer Board Members.
- Manages volunteer hours requirements for EPBA Travel Families using Crossbar.
- Drafts and sends email communications to EPBA Travel Families via Crossbar regarding volunteer hours requirements and volunteer opportunities.
NON-VOTING BOARD MEMBER
Concessions Purchasing Manager
- Reviews historical sales to determine product offerings and pricing; confer with fastpitch to align on pricing.
- Reviews inventory and sales to purchase all food and non-perishable items
- Works with vendors to find most efficient method for products to be delivered. This could be from a food distributor, club warehouse (Sam’s/Costco) or online retailer.
- Manages all aspects of cash management including counting cash, ensure opening cash is on hand and depositing cash at the bank.
- This is a paid position.
Concessions Operations Manager
- Recruits and maintains a staff of youth employees who will work the stand.
- Creates a schedule youth employees to ensure a paid employee is in the stand at all times.
- Leads, guides and directs staff of youth employees.
- Works closely with the volunteer coordinator at EPBA to ensure volunteers are signed up.
- Creates schedule of when the stand will be open.
- Ensures that proper state & local sanitation procedures are followed.
